AOSW Exhibit Information 

Why Exhibit? 

The AOSW Annual Conference draws more than 500 attendees from the oncology social work community. As ‎an exhibitor, you’ll demonstrate your support of AOSW’s important mission to your target audience.‎ Your company will get the opportunity to create direct connections with professionals serving the needs of ‎cancer patients, their families and caregivers.  These are the type of people seeking your expertise.‎ 

Exhibitor Benefits 

  • One complimentary, full conference registration per booth space (includes access to sessions and social functions)‎  
  • One complimentary, exhibit floor-only representative registration 
  • Complimentary, one-time use of Annual Conference attendee mailing list (attendees opt in to be included email addresses are excluded per AOSW policy)‎ 

Exhibit Booth Rental Includes: 

  • One six-foot draped table and two chairs 
  • Back wall and side rail fabric drapes 
  • Company identification sign 
  • General security guard service‎ (excludes individual booths)‎ 
  • Listing in the attendee conference materials 

Exhibit Booth Pricing

  • For-Profit Exhibitor $2,000 
  • Nonprofit Exhibitor $1,000

In 2023 there will also be a limited number of virtual exhibit booths. These may be offered in conjunction with sponsorship and may be reserved separately on a first come first serve basis. Prices below are for virtual displays only and do not include a conference registration. 

  • For-Profit Virtual Exhibitor $750
  • Nonprofit Virtual Exhibitor $550


Booth Assignment Policy 

Requests for booth locations will be handled on a first-come, first-served basis.‎ 

No booth will be assigned without full payment. Space is limited and exhibitors are encouraged to review the Exhibit Hall ‎layout and contact the AOSW office with preferred booth location request as early as possible, including notification of desire to ‎avoid assignment of space near a particular competitor. AOSW will make every effort ‎to accommodate exhibitor booth choices and special requests and reserves the right to determine final booth assignments.‎ 

Official Exhibit Contractor 

All decorating and exhibit furniture will be handled by our contractor. Each confirmed exhibitor will receive an Exhibitor Services Kit with information about ordering booth carpeting, ‎furniture and other booth supplies. Exhibitors are responsible for all freight, drayage, decorations, furniture and labor ‎charges. Shipping instructions will also be included in the Exhibit Services Kit.‎ We will send this information to you a few months before the start of the event.

Exhibitors are not required to be at their booth while attendees are in session.‎ 

AOSW Rights 

AOSW reserves the right to review and approve all materials to be included in the Annual Conference. The Sponsor/Exhibitor is responsible for supplying and shipping materials to the Annual Conference at their expense.  

General Information 

Event Scheduling 

AOSW encourages our partners, sponsors and vendors to host hospitality suites or other events during the course of its ‎Annual Conference. However, events must not conflict with scheduled Annual Conference activities. Refer to the ‎preliminary schedule of events to plan accordingly.‎ 


To reserve an Exhibit Display, full payment must be made with the exhibit contract by the start of the Annual Conference.  

Cancellation Policy 

Exhibitors needing to cancel or reduce space at the Annual Conference must notify AOSW Headquarters in writing. If ‎cancellation notification is received on or before, May 28, 2023, the exhibitor is eligible to receive at 50 percent ‎refund of the exhibit contract payment. AOSW will issue no refunds after May 28, 2023.‎
